ACCOUNT
Account & Data Deletion
Pre-launch information. Custodian is currently in development and is not yet publicly available. The exact account-deletion workflow, retention periods and in-app controls will be confirmed before public release.
Last updated: September 24, 2026
1. Overview
Custodian is designed to give users and businesses clear control over their accounts and information.
Depending on how you use Custodian, deleting your personal account may be different from leaving a business workspace or deleting an entire workspace.
This page explains those differences and describes the deletion process Custodian intends to provide at launch.
2. Personal account deletion
A Custodian user will be able to request deletion of their personal account.
Deleting a personal account is intended to deactivate information associated specifically with that user, subject to any information that must be retained for legal, security, operational or other legitimate reasons.
The final production application will provide a clearly documented method for requesting account deletion.
3. Information associated with your personal account
Depending on the final Custodian feature set, information associated with your personal account may include:
- Your name.
- Email address.
- Telephone number, if provided.
- Profile photograph.
- Account identifier.
- Account preferences.
- Language preferences.
- Authentication-related records.
- Workspace memberships.
- User roles and permissions.
- Account activity information.
- Support correspondence.
- Security records associated with your account.
4. Business workspace information
Information stored inside a shared business workspace may belong to or be controlled by the organization that owns that workspace.
This can include:
- Business contact records.
- Company records.
- Notes.
- Tags.
- Segments.
- Follow-up information.
- Relationship history.
- Workspace settings.
- Business files or photographs.
Deleting your personal Custodian account does not necessarily mean that all information you created inside a business workspace will also be deleted.
In many cases, that information may remain available to the organization if it forms part of the organization's legitimate business records.
5. Leaving a workspace
Leaving a workspace is different from deleting your Custodian account.
When a user leaves or is removed from a workspace:
- The user may lose access to that workspace.
- The user's workspace role may be removed.
- The user's access permissions may be revoked.
- Business information may remain inside the workspace.
- Other authorized workspace members may continue using that information.
A user may be able to remain a Custodian account holder while no longer belonging to a particular workspace.
6. Deleting an entire workspace
Deleting a business workspace is separate from deleting an individual Custodian account.
Only the authorized workspace Owner may initiate permanent workspace deletion.
Custodian requires the owner to resolve other workspace memberships before deletion is permitted.
The owner must select the workspace, enter its exact name, and confirm permanent deletion.
Workspace deletion removes its associated database records, including contacts, companies, notes, tags, and follow-ups, and initiates cleanup of associated contact photographs.
If storage cleanup cannot be completed immediately, a pending cleanup operation may remain until it is successfully retried.
Custodian currently does not provide an in-app recovery period for permanently deleted workspaces.
7. What may be deleted after an account-deletion request
Subject to the final system architecture and applicable legal requirements, deletion of a personal account may include removal or anonymization of information such as:
- Personal profile information.
- Account preferences.
- Personal profile photograph.
- Authentication credentials or authentication records where appropriate.
- Personal notification preferences.
- Personal workspace membership records where no longer required.
- Other personal account information that Custodian no longer needs to retain.
8. Information that may remain in a workspace
Some records created or edited by a user may remain within a business workspace after the user's personal account is deleted.
This may happen where the information belongs to the organization rather than the individual user.
Examples may include:
- Business contact records.
- Company information.
- Shared notes.
- Relationship history.
- Business activity records.
- Shared reminders or follow-ups.
- Workspace configuration information.
Where appropriate, Custodian may remove the deleted user's personal profile information while preserving the underlying business record.
9. Information we may need to retain
Even after an account-deletion request, Custodian may need to retain limited information where reasonably necessary or legally required.
This may include information needed for:
- Compliance with legal obligations.
- Security investigations.
- Fraud prevention.
- Prevention of abuse.
- Enforcement of legal agreements.
- Dispute resolution.
- Financial and accounting records.
- Tax requirements.
- Transaction records.
- Protection of users and the platform.
- Establishment, exercise or defense of legal claims.
Retained information should not be kept longer than reasonably necessary for the applicable purpose.
10. Backups
Information removed from Custodian's active systems may remain for a limited period in secure backups.
Backup systems are generally maintained for disaster recovery, security and service resilience.
Information contained in backups may not be immediately removed from every backup copy when an account is deleted.
Instead, backup information may be automatically removed or overwritten according to Custodian's backup-retention cycle.
Backup copies should not be restored for ordinary use after deletion except where necessary for legitimate disaster-recovery or security purposes.
11. Deletion processing time
The exact deletion timeline will be confirmed before public launch.
Some deletion requests may be completed quickly, while others may require additional time because of:
- Identity verification.
- Workspace ownership issues.
- Security investigations.
- Legal retention obligations.
- Backup cycles.
- Complex business-account relationships.
Custodian will aim to process valid deletion requests within the time required by applicable law.
12. Identity verification
Before deleting an account, Custodian may need to verify that the person making the request is authorized to control that account.
Verification may include:
- Signing in to the Custodian account.
- Confirming access to the registered email address.
- Using an authentication code.
- Completing another reasonable identity-verification step.
These procedures are intended to protect users from unauthorized or malicious deletion requests.
13. Requests made by someone else
Custodian may accept deletion or privacy requests from an authorized representative where permitted by applicable law.
Custodian may request evidence showing that the representative has legal authority to act on behalf of the relevant individual.
14. Workspace administrators
Workspace administrators may be able to remove users from an organization without deleting those users' personal Custodian accounts.
Removing a user from a workspace may revoke access immediately or after a short processing period.
The removed user may still be able to use their Custodian account with another workspace, depending on the final account architecture.
15. Workspace ownership transfer
If a workspace Owner wants to delete their personal account while other members still rely on the workspace, Custodian may require ownership to be transferred to another authorized user before the account can be deleted.
This is intended to prevent accidental loss of access to shared business information.
16. Sole-owner workspaces
If a user is the only Owner or only member of a workspace, deleting their account may require the user to first choose whether to:
- Delete the workspace.
- Transfer workspace ownership.
- Export relevant business information.
- Cancel the deletion request.
The final Custodian application will define this flow clearly before public release.
17. Export before deletion
Where supported, authorized users may be able to export certain information before deleting an account or workspace.
Users should review important information before deletion because permanently deleted data may not be recoverable.
Export functionality may depend on the user's workspace role, subscription plan and available product features.
18. Cancellation and recovery
Before confirming deletion, users may cancel the operation without deleting their account.
Once permanent account or workspace deletion has successfully completed, Custodian does not currently provide an in-app recovery or restoration process.
Certain records may remain temporarily in backups or be retained where required or permitted by applicable law, as described in this document and the Privacy Policy.
19. After permanent deletion
Once an account has been permanently deleted, the user may lose access to:
- Their Custodian profile.
- Personal settings.
- Workspace memberships.
- Personal reminders.
- Personal account history.
- Other account-specific information.
Permanently deleted information may not be recoverable.
20. Subscriptions
Custodian is currently free to use and does not offer paid subscriptions. Deleting an account therefore does not currently require cancelling a Custodian subscription.
If Custodian introduces paid subscriptions, deleting an account may not automatically cancel every subscription depending on how the subscription was purchased.
Subscriptions purchased through an application store may need to be cancelled through the relevant store account.
Before paid subscriptions are introduced, Custodian will provide clear instructions explaining how account deletion interacts with billing and subscription cancellation.
21. App Store subscriptions
If a subscription is purchased through Apple's App Store, billing and cancellation may be managed through the user's Apple account.
Deleting a Custodian account may not automatically cancel a subscription managed independently by Apple.
22. Google Play subscriptions
If a subscription is purchased through Google Play, billing and cancellation may be managed through the user's Google account.
Deleting a Custodian account may not automatically cancel a subscription managed independently by Google.
23. Web subscriptions
If Custodian later offers subscriptions through its website, the cancellation and account-deletion process will explain how those subscriptions are handled.
Any remaining financial obligations, refund rights or prepaid periods will be handled according to the applicable subscription terms and law.
24. Refunds
Account deletion does not automatically create a right to a refund.
Any refund entitlement will depend on the applicable subscription terms, payment provider, application-store rules and applicable law.
25. Contact records concerning other people
Your Custodian workspace may contain business information about people who do not have a Custodian account.
Deleting your personal account does not necessarily require deletion of those third-party contact records where the records belong to and are lawfully maintained by the business workspace.
26. Privacy requests from contacts
A person whose information has been stored in Custodian by a business may have privacy rights relating to that information.
In some cases, the relevant business customer rather than Custodian may be responsible for responding to the request.
Custodian may assist business customers with valid privacy requests where required.
27. Deleted workspace members
Where necessary to preserve legitimate business history, records may show that an action was performed by a former or deleted user without continuing to display unnecessary personal information about that user.
For example, activity records may be anonymized or displayed using a generic label such as "Former user" where appropriate.
28. Audit and security logs
Certain security or audit records may be retained after account deletion where reasonably necessary to protect Custodian and its users.
These records may include:
- Authentication events.
- Security incidents.
- Administrative actions.
- Access-control changes.
- Fraud-prevention records.
Such information should be retained only for appropriate purposes and periods.
29. Support records
Support conversations may be retained for a limited period after an account is deleted where reasonably necessary for:
- Resolving previous support cases.
- Maintaining security records.
- Handling complaints.
- Meeting legal obligations.
- Improving support quality.
30. Early-access data
Before Custodian launches, a person may provide an email address through the early-access form on the Custodian website.
A person who no longer wishes to receive early-access communications will be able to unsubscribe from marketing messages or request removal of their email address.
31. Website data
Deleting a Custodian application account may not necessarily remove all technical information associated with visits to the Custodian website.
Website logs and similar technical information may be subject to separate retention periods for security, diagnostics and legal compliance.
32. Deleted data is not sold or repurposed
Information that has been deleted from active Custodian systems should not later be restored for unrelated advertising, marketing or commercial resale.
Information retained for limited legal, security or backup purposes should remain restricted to those purposes.
33. Fraudulent or abusive deletion requests
Custodian may delay or reject a deletion request where there is a reasonable basis to believe that the request is:
- Fraudulent.
- Unauthorized.
- Made by an impersonator.
- Intended to interfere with a security investigation.
- Legally prohibited.
Any such decision should be handled in accordance with applicable law.
34. Legal holds
Custodian may temporarily preserve information that would otherwise be deleted if it is subject to a valid legal hold, court order, regulatory requirement or active legal dispute.
Information subject to a legal hold should remain restricted to the purpose requiring its preservation.
35. How to request account deletion
Custodian provides an in-app account-deletion process for authenticated users.
To delete your account:
- Open Custodian and sign in.
- Go to Profile.
- Select Privacy & Security.
- Select Delete Account.
- Review the account-deletion information.
- Resolve any outstanding workspace ownership, shared-storage, or cleanup requirements.
- Type DELETE in the confirmation field.
- Enter your current account password.
- Confirm the permanent deletion.
Custodian verifies the authenticated account and password before proceeding with deletion.
If the account still owns a workspace or has unresolved dependencies, the application will explain which requirements must be addressed first.
Account deletion does not require contacting support when the in-app deletion requirements are satisfied.
36. Unable to access your account
If you cannot access your Custodian account but wish to request deletion, a support-assisted process will be available.
Custodian may require sufficient information to verify that the person making the request is entitled to control the relevant account.
37. Deletion confirmation
Custodian may provide confirmation when an account-deletion request has been accepted or completed.
Confirmation may be sent through the application, email or another verified communication channel.
38. Withdrawal of a deletion request
If the production system includes a recovery period, users may be able to cancel a deletion request before permanent deletion begins.
Once permanent deletion has been completed, Custodian may not be able to restore the account or associated personal information.
39. Privacy rights
Account deletion is separate from other privacy rights that may be available under applicable law.
Depending on your location, you may also have rights to request:
- Access to personal information.
- Correction of inaccurate information.
- Restriction of certain processing.
- Portability of certain information.
- Objection to certain processing.
- Withdrawal of consent where applicable.
More information is available in the Privacy Policy.
40. Questions or problems with deletion
If you experience a problem with an account-deletion request, use the Custodian Support Center.
